G&A Security is a professional physical security company serving clients across the United Kingdom. With a large frontline workforce and a portfolio spanning multiple sites, their day-to-day operations are underpinned by strict compliance requirements — SIA licensing obligations, documented patrol logs, incident records, and vetting trails are all central to how the business runs.
When they came to MWN Digital, they were not looking for an off-the-shelf product stretched to fit. They needed a platform built from scratch, shaped entirely around their specific operational workflows.
The Challenge
Before the system was in place, G&A Security were managing operations across a fragmented mix of tools. CCTV checks were recorded on paper. Incident logs were captured through Microsoft Forms. Certain workflows ran through SmartTask. There was no single place where everything lived — and that created real problems.
Missed CCTV checks. Incomplete patrol logs. Paper documents lost between sites. Inconsistent audit trails across tools that were never designed to work together. For a geographically spread team managing clients across the country, this was not just an inconvenience — it was a compliance risk.
The UK private security industry is heavily regulated. SIA requirements govern all frontline staff, and the documentation obligations that come with those are non-negotiable. When Martyn's Law received Royal Assent in April 2025 — raising the bar further for security operators around demonstrated competence and staff preparedness — the pressure to get operational documentation right became even more acute.
G&A Security knew they needed a single source of truth. What they did not yet know was quite how capable that solution could be.
The Solution
MWN Digital built a bespoke web application using Laravel — a robust PHP framework — developed in close collaboration with G&A Security from the outset. Work began in September 2025, and this is an ongoing engagement. New features are added continuously under a retainer, and the system grows alongside the business.
One factor shaped the build from day one: Matt (MWN Digital's lead developer) has a background in the security industry himself. That gave the project something most software builds lack — a developer who understood operational reality before a single requirement was written down. That understanding informed every feature decision throughout.

CCTV Check Management
Scheduled inspections are tracked within the system with full accountability at every step. Missed checks have gone from an operational hazard to a managed exception.
Daily Occurrence Logs
Digital incident and event logs have replaced paper-based records entirely. Each log is exportable to PDF, giving management a clean, professional document ready for compliance review at any time.
Dynamic Form Builder
A flexible form system with versioning lets G&A create and manage their own forms without developer input. Submissions are tracked, stored, and exportable — putting operational control where it belongs.
Staff Management
User accounts, roles, permissions, and leave requests are managed within the platform, with a notification workflow that keeps the right people informed automatically.
Client & Location Management
A multi-client, multi-site structure that reflects the full breadth of G&A Security's UK portfolio.
Microsoft Teams Integration
Operational alerts and internal communications connect directly with the team's existing Teams environment, reducing tool-switching and keeping everyone aligned.
Companion App
A mobile-compatible application for field-based staff means the system travels with the team rather than waiting behind a desk.
Access Control System
A separate but integrated module for managing access control across client sites.
Automated Backups
Built-in backup processes ensure data security and business continuity as standard.
The Results
The impact has been felt across the whole organisation. Staff are saving hours per day compared to their previous processes — time that goes back into operations rather than into paperwork. Missed CCTV checks and incomplete records have become the exception rather than the rule.
Perhaps most telling: adoption has been enthusiastic rather than reluctant. From management to frontline staff, the system has been embraced across the board. That is what tends to happen when a tool is built around real workflows instead of adapted from something generic.
All operational data now lives in one place, accessible to the right people at the right time. The platform continues to evolve, with new features released regularly under the ongoing retainer.
